Lists and views

The SmartTexts and SmartMail tabs of the Options list your library. Three views, a search, a category filter, and a single menu to act on an item.

Cards, list or table Basic

The buttons at the top right of the list choose the view:

Dynamic fields appear in the excerpts in colour, as in the previews.

Detailed or compact Advanced

Next to the views, Detailed and Compact set the density. In compact mode, excerpts shrink to one line (or disappear in the list): more items fit on screen.

Sorting the table Advanced

In the Table view, click the Title or Category header: a first click sorts from A to Z, a second from Z to A, a third goes back to the usual order (favourites first, then the most used). The sort holds during a search or a filter; it disappears when you change view or tab.

Filtering by category Basic

The left-hand column lists your categories, with the number of items in each. Clicking a category shows only that one; All goes back to everything.

Searching Basic

The search field filters the list as you type, with the same search as the Launcher: no accents or capitals, each word in any order, * to search within a category.

Editing and acting on an item Basic

Clicking an item opens it in the editor. All the other actions are in the ⋮ menu — top right of a card, at the end of the line in the list and the table — or via a right-click anywhere on the item:

  • Edit
  • Duplicate — see The editor
  • Convert to SmartMail (or Convert to SmartText), if SmartMails are turned on — see Converting
  • Add to favourites / Remove from favourites
  • History — the earlier versions, see The editor
  • Delete

Recognising a favourite Basic

A favourite is recognisable by three signs: its icon becomes a golden ★, a golden edge borders its line or card, and it's at the top of the list. It also appears in the Overbar.

The ⓘ and ⚠ markers Expert

MarkerMeaning
Red ⓘ next to the keywordAnother item has the same keyword. Allowed: the Expander will make you choose. See Expander.
Amber ⚠ next to the keywordThis keyword will never fire: a shorter keyword it starts with fires first. See Expander.

Deleting, and changing your mind Basic

Delete doesn't ask for confirmation: the item goes to the bin, and a message gives you 6 seconds to click Undo. After that, it can still be recovered from the bin for 30 days.
