Converting SmartText ⇄ SmartMail
Did your email templates end up among your SmartTexts? That's the case for everything that comes from another tool, since none has an equivalent of SmartMails. Modula converts them, one at a time or in batches, and tells you beforehand what each item will lose.
Converting a SmartText into a SmartMail Advanced
The conversion opens the usual editor, pre-filled: title, category and keyword are carried over, the content becomes the email body. The original item stays visible on the right for comparison.
- First turn on SmartMails: the option only appears with them.
- In the SmartTexts list, open the item's ⋮ menu (or right-click it), then Convert to SmartMail.
- Complete the recipient and subject if needed, then Save.
What will be lost, announced beforehand Advanced
An email opened by Modula is plain text. A banner at the top of the editor says exactly what this SmartText will lose: images, tables (their text is kept), headings, bold, italic, underline, colours.
Kept: line breaks, lists (as dashes or numbers), link addresses and your dynamic fields.
The “Subject:” line becomes the subject Advanced
If the text starts with a Subject: line, it fills the Subject field and leaves the body. It is recognised in English, French (Objet :), Spanish, German and Portuguese, whatever the language of Chrome.
“Subject: Following up on your quote / Hello, I'm getting back to you…” becomes a SmartMail with the subject “Following up on your quote”, whose body starts at “Hello”.
Keeping or deleting the original Advanced
By default the original SmartText is kept: the conversion creates a copy. Tick Delete the original SmartText, at the bottom of the editor, to move it instead. The new item is brand new: it takes neither the favourite nor the use counter.
Converting a whole batch Expert
This is the most common case: forty templates imported from another tool aren't converted one by one.
- SmartTexts list, ☑ Organize button, tick your templates.
- Click Convert.
- Set once for the whole batch the recipient (empty, a fixed address,
{{selection}}or{{clipboard}}), the copy, and where the subject comes from: the “Subject:” line if present, otherwise the title — or always the title. - Each item in the list shows what it will lose; untick those to leave as they are, then confirm.
Camille converts her 12 customer replies with the recipient {{selection}}: for each email, she will select the customer's address in the ticket before triggering the SmartMail.
If you tick Delete the original SmartTexts, a ⬇ Back up first button appears. On the Free plan, the batch is only converted if it fits entirely within the 5-SmartMail limit: untick some items or upgrade to Pro.
From a SmartMail to a SmartText Advanced
On a SmartMail, the ⋮ menu offers Convert to SmartText: title, body, category and keyword are carried over. The subject and recipients are not — a SmartText has nowhere to put them; copy them into the text if you want to keep them.
This conversion works one item at a time only, not in batches.
