Duplicates
Three “Signature” items in your lists, and you have to guess which one to use? The duplicate manager groups the items that repeat, and lets you decide on each one: rename, compare, delete.
Finding duplicates Expert Pro
- Settings → Data management, Duplicates tab.
- Click 👥 Find duplicates….
- Tick your criteria, then Search.
| Criterion | Detail |
|---|---|
| Same title | ticked by default |
| Same keyword | ticked by default |
| Same content | the visible text, formatting and spaces ignored |
| Also compare SmartTexts with SmartMails | a SmartText and a SmartMail with the same content: one of them may need converting |
An item shows up as soon as it meets one of the ticked criteria. Capitals and accents never count: “Résiliation” and “resiliation” are the same title. An empty field never forms a duplicate: forty items without a keyword are not forty duplicates.
Pro plan only, included in the trial. The number of groups is shown on every plan by Data health.
Renaming, opening, comparing, deleting Expert Pro
Each group states its number of items and what brings them together (“3 items — same title”). On each line:
- click the title to rename it in place, Enter to confirm;
- Open opens the item in the editor, over the list;
- Compare shows two items of the group side by side, field by field, with content differences highlighted line by line;
- Delete sends the item to the bin. Tick several lines to delete them in one go.
Three “Signature” items: Camille compares the first two — one has the old phone number —, deletes that one, and renames the third “Signature — short”.
Nothing moves under your cursor: a renamed or edited line stays in place, greyed out and marked “done”; a deleted line is struck through. Groups are only recalculated at the next search.
